Our client has a requirement for a Intake Manager for a 6-month contract opportunity. The position is located in Mississauga.

Role
The Technology Enterprise Services (TES) Intake Manager is responsible for managing all aspects of the project intake process, within established Service Level Agreements, including collaboration with several internal teams and lines of businesses, establishing and maintaining positive relationships with internal customers, responding to internal customer requests and concerns, obtaining team members to work on the Intake and driving the estimating process forward.

We are looking for an Intake Manager with at least 3 years’ experience managing Intakes and rolling out a new process within a team. This individual will be working with several internal teams, lines of businesses and with the intake team to review current and new projects, responding to request and concerns, and driving the estimation process forward. This individual will manage the creation the Project Charter and work with a team who is responsible for providing estimates. This is a six-month contract working out of Creekside with a possibility of an extension but not guaranteed
 
Responsibilities
Intake
  • Receives an intake request and evaluates it against the work intake criteria to decide whether to accept the intake.
  • Reviews the intake request and validates for completeness and accuracy
  • Schedules intake review session with internal consumer representatives, architecture, ITS, service lead to review intake and understand their requirements
  • Work with consumer representatives to finalize high level scope
  • Create complete and accurate entries into the intake management application
  • Create complete and accurate entries into the project portfolio management application
  • Receives change requests for existing projects and ensure that the intake process is followed as well
  • Process accepted intake requests and change requests through the Intake Management Process.

Intake Management
  • Works with Service Lead to finalize documentation to complete the intake coordinates with the Technology Service’s representative to classify a project as either a discretionary or a mandatory initiative prior to pricing and communicating the estimate.
  • Coordinates with the Technology Service’s representative to identify when a plan transfer is required and to execute when needed
  • Maintain the intake in the intake management application, ensuring that all communication, resource requests, sub-tasks and intake updates are recorded
  • Works with Technology Service’s representative and provides the initial contact/introduction to the TES approved 3rd party vendors for any custom work required
  • Work with the Architect group to determine which service requests we will implement and ensure they align with our strategy
  • Work with architecture, service lead and ITS to provide proper response to intake.
  • Review deliverables with the Technology Service’s representative
  • Submit ROM to the Technology Service’s (TS) representative for any estimation intake request
  • Works with TS/LOB representative to obtain required project approval from Project Sponsors.
  • Transition completed project intake requests to a project manager for auctioning
 
Relationship Management
  • Develops and maintains solid relationships with several external groups/departments
  • Conducts regularly scheduled sessions with partners to review the pipeline
  • Works closely with the partners to determine ongoing priorities
  • Works closely with respective stakeholders to coordinate and respond to all request types
  • Acts a single point of contact for all intake requests.
  • Ensures the LOB’s leadership authorizes all work activities.
  • Supports reviews and approvals of estimates prior to presentation to the TS/LOB representative and LOB Leadership.
  • Ensures partner satisfaction by communicating with them in a timely manner regarding project opportunities and statuses; escalating and resolving issues as they arise
 
Requirements or Qualifications
Must have:
3 years of hands on experience with the following:
  • Receiving “requests to do” work from multiple requesters
  • Balancing multiple Intake requests based on priority and strategic alignment
  • Driving out ambiguity from information contained in an Intake request
  • Rolling out a new process within a team or organization
  • 5 yrs. of creating estimates for software development type projects in an organization using an SDLC methodology
  • Issues escalation and resolution
  • Facilitation Skills
  • Scope change management
  • Budgeting and project costs management
  • Vendor Management
  • Excellent communication skills
  • Expertise in Excel, Visio and PowerPoint
 
Nice to have:
  • 5 yrs. of IT Project management experience managing medium to large software development projects thru the complete SDLC project lifecycle
  • PMP certification
  • Working knowledge of the following technologies (or similar technologies):
  • FileNet,
  • Kofax,
  • Content Manager on Demand,
  • Ab Initio ETL,
  • Cognos
  • Data warehousing
  • JIRA
  • Clarity
  • Working in an Enterprise Shared Service environment
