LEISC Engineering Support Technical Admin

JOB DESCRIPTION

As the LEISC Engineering Support Admin you will be supporting several Engineering Support Teams within LEISC program with a key focus being on the tracking of government supplied equipment and sub-contract invoice processing, however, other duties will include a wide variety of administrative tasks in support of numerous teams, which will range from managing spreadsheets or running reports to coordinating meetings and taking minutes.

RESPONSIBILITIES
  • Assist the Government Furnished Asset (GFA) team in performing a range of GFA tasks including:
    • Coordinate the request, receipt, distribution and control of GFA, including Government Furnished Equipment (GFE), Government Furnished Information (GFI), Government Furnished Vehicles (GFV), and Government Furnished Software Licenses;
    • Coordinate and prepare procurement and Loan requests for customer approval;
    • Data enter all GFA transactions;
    • Manage and monitor GFA requests on the customer SharePoint request site;
    • Assist with stocktaking and Customer audits;
    • Assist in the coordination of purchasing and shipping, loading/unloading and verification of equipment; and
    • Audit incoming and outgoing shipments to assure quality and accuracy
  • Assist the LEISC Sub-contract Manager in numerous activities, which may include the following:Assist the LEISC Engineering Support Organization with miscellaneous administrative tasks as directed by the Manager, LEISC Engineering Support.
    • Process LEISC and Contract Labour invoices
    • Track Purchase Orders against customer request system/internal procurement requests and charge codes
    • Coordinate with Supply Chain any PO modifications required in Oracle
    • Coordinate Subcontract invoice processing and Receiving in Oracle
  • Assist the LEISC Engineering Support Organization with miscellaneous administrative tasks as directed by the Manager, LEISC Engineering Support.
EDUCATION/REQUIRED SKILLS
  • High School Diploma preferably with some Post Secondary Education. Administrative Assistant Diploma/Certificate an asset.
  • Demonstrated proficiency in PC and software tools with working knowledge and skills using Microsoft Office Suite, including Visio and SharePoint.
  • It is desirable that the candidate have experience working with databases: Microsoft Office Access, and/or Filemaker, Proprietary databases.

EXPERIENCE
  • 2 – 5 years of related experience
  • Preference will be given to those with 2-4 years experience in managing government/customer supplied assets or experience in inventory/procurement.
