Receptionist/Administrative Assistant

Job Description
Position: Receptionist
Reporting to: Manager, Human Resources

General Accountabilities

The Receptionist will greet people arriving at the office, direct visitors to appropriate person or service, answer and forward telephone calls, take messages, schedule appointments and perform other clerical duties.

The Receptionist duties must be performed consistent with company mission and values and in adherence to company policies and procedures.


Specific Responsibilities & Primary Duties:

•Answer all in-coming calls and direct the calls to the appropriate person.
•Greet all visitors to the office in a friendly and professional manner and advise appropriate person of their arrival.
•Ensure all visitors have been directed to the appropriate meeting room and offered refreshment.
•Prepare and send Local, National and International couriers.
•Ensure all deliveries/couriers are distributed to the appropriate person.
•Maintain boardroom bookings and schedule meetings.
•Process outgoing mail using postage machine, seal mail and put into mailbox.
•Pick-up/distribute incoming mail to appropriate people.
•Check fax server and direct incoming faxes to the appropriate person.
•Book travel to remote branches and for business meetings.
•Order and stock office and kitchen supplies as requested and upon approval from appropriate management.
•Coordinate the new hire/exit forms documentation and information process.
•Prepare documentation for security cards.
•Administer company parking and review monthly parking invoice to ensure accuracy of individual payments, additions and deletions.
•Call for tenant and equipment maintenance service when required and maintain logs.
•Maintain and update the company phone list.
•Assist other departments with clerical duties as assigned.


Skills and Competencies Required:

•Previous reception or administrative experience preferred.
•Previous experience with Meridian phone system an asset.
•Proficient with MS Office (Word, Excel, PowerPoint) and Outlook.
•Strong communication skills, both written and verbal.
•Strong customer service skills.
•Strong interpersonal skills for effective interaction with customers, third parties and employees.
•Strong telephone etiquette.
•Exceptional organizational skills.
•Able to work well in a team environment and is able to work independently when necessary.
•Personable, tactful and self-motivated.

Our client has a requirement for a Bilingual Sales Assistant for a 12 month contract opportunity. The position is located in Mississauga.


Requirements or Qualifications

Qualified Candidates will have:

•List of Requirements
•Manage the BIF (partner services funds) process – manage BIF documentation, follow up on execution and timelines, ensure deadlines are met and payments complete, report back on status
•Marketing – helping with regional events, both coordination and event registration. Includes customer calling to confirm event attendance and post event follow up regarding potential opportunities and customer requests
•Research – find relevant, customer consumable info as required such as References, case studies and white papers. Provide follow up to customer requests as directed by the Account Manager
•Tool Support – access and use several internal Microsoft software tools to find information and provide reports
•Administrative Support – calendaring for customer engagements (book meetings, coordination of resources), coordinate customer follow up activities
•Customer Engagement – Inside sales support addressing customer service requests, reaching out proactively to customers as part of a territory plan defined by the Account Manager and assisting with ad hoc requests from the field.
•Strong verbal and written communication skills
•Strong analytical skills
•Customer service and interpersonal skills
•Ability to work independently and manage one’s time
•Basic knowledge of principles and methods for showing, promoting, and selling products or services
•Office skills, especially Outlook and Excel – in particular Pivot Table experience is an asset
•Post secondary degree required
•Sales Support experience in IT industry preferred but not required

About the Job

Our client has a requirement for Software Distribution Analyst for a 13 month contract opportunity. The positions are located in London, Ontario.


Requirement or Qualifications:

We are currently seeking 3 Contractors for Software Distribution for a one year contract, these individuals will have experience scheduling, monitoring, and reporting on software distribution activities using SCCM, with other industry standard software distribution tools such as Tivoli. Zen SMS, would be an asset. This is not an infrastructure support or development role, this role is operational usage of the SCCM Software Distribution tool through daily task execution. The desktop team is responsible for supporting 3 of the Desktop Infrastructures at our client.


The team provides the following services:

Overview of responsibilities:

The Software Distribution Analyst is responsible for executing the tests required to automatically update endpoint software electronically for an end-user or device. The electronic update can be enterprise wide request or a single IMAC request. The software Distribution Analyst uses a variety of Tools to perform the electronic software updates and also must perform detailed problem determination in order to repair and rerun any failed electronic updates. This individual must also produce detailed reports on the results of the job’s execution

•3rd Level problem support
•Package Testing
•Hardware / Software Standards evaluations
•In-house developed Application/Script Support

End User Support Analyst (Deskside Support) - Intermediate

Job Description: 
Our client has a requirement for Deskside Support for a 6 month contract opportunity.  The positions are located in Calgary. 
 
Requirement or Qualifications:
 
Qualified Candidates will have:
 

Work description:  Provide Level 1 and 2 End User Desktop Support nationally. 
+ Outlook Email client support skills
+ HP Printer Lan connected hardware support
+ Support clients in an Enterprise environment, with distributed locations.
+ Provide desktop consultation to customers and projects
+ Create and review documentation/processes as required
 
Primary skill set (only required for Non ERP Program):  Strong working knowledge of:
+ Microsoft Outlook client support skills/experience
+ Managed desktop PC/Print environments
+ MS Windows 2K/XP 
+ Active Directory and SMS & SCCM architecture
+ MS Office Suite, Symantec AV, Stormwatch, etc.
+ RSA VPN remote access (wired and wireless) support.
